DOC allows our customers inventory control via secure web access. Inventory monitoring, services ordering, and workorder and invoice review is available through the DOC online system.

SECURITY

Computer media contain highly sensitive data. Customer Authorized Access Controls are in place to assure security. Additionally, The Data Vault has provisions in place to help our customers maintain HIPAA, Sarbanes-Oxley and Gramm-Leach-Bliley privacy compliance.

CONTROLLED CLIMATE VAULT

For computer media off-site rotation and storage, we've constructed a Climate Controlled Vault. The facility was built to four-hour architectural fire specifications with filled, reinforced 12” thick concrete block on the exterior walls, and filled, 10” thick concrete block on the interior walls. The roof system is redundant, with two standing seam steel installations, one atop the other. Access is through a four-hour fire rated steel vault door. The Vault is further protected by an FM-200 Fire Suppression System. The temperature and humidity range is constantly maintained within the critical standards required for computer media storage. The entire facility, Records Center and Climate Controlled Vault, is protected by motion detectors and door entry contacts. The Data Vault is monitored 24/7/365 by a UL/FM approved independent security company

TOTAL RECALL TRACKING SYSTEM

Total Recall computer media tracking software is utilized in the Climate Controlled Vault. The system utilizes barcode scanning technology for tape slotting and container inventory maintenance. The Data Vault may integrate with our clients’ TMS systems. The approach allows IT departments to better manage their tape backup rotation schedule through The Data Vault system.

MEDIA DESTRUCTION

Media destruction services help our clients manage the complete data life cycle by providing expiration date notification and certified shredding.

OFFSITE BACKUP ROTATION

The Data Vault maintains routes throughout the Metro Louisville & Southern Indiana area for daily, weekly and monthly backup tape rotation services. Uniformed drivers operate secured The Data Vault vehicles.
