RECORDS STORAGE CENTER

In our Records Center, we offer your business clean, secure storage for paper-based records. The facility was designed specifically for storage of records. Building construction is structural steel sheathed in steel panels with a standing seam steel roof. The floor is 12” reinforced concrete engineered for the weight of the racking system and records cartons. The Records Center is equipped with zoned, in-rack water sprinklers for fire suppression.

RECORDS ACCESS

Our customers’ records are easily accessible via our courier system. Uniformed drivers operate The Data Vault vehicles for pickup and delivery of cartons, files or computer media. Reference rooms are available at our facility for clients’ audit purposes. Communication with The Data Vault is customized to the client’s needs by utilizing the phone, fax, email or internet.

SECURITY

Business records contain highly sensitive data. Customer Authorized Access Controls are in place to assure security. Additionally, The Data Vault has provisions in place to help our customers maintain HIPAA, Sarbanes-Oxley and Gramm-Leach-Bliley privacy compliance.

DOC – DATA ON COMMAND

DOC allows our customers inventory control via secure web access. Inventory monitoring, services ordering, and workorder and invoice review is available through the DOC online system.

TOTAL RECALL TRACKING SYSTEM

Total Recall is the software system The Data Vault uses in the Records Center to track paper-based records. This comprehensive system utilizes barcode scanning technology for inventory tracking, workorder generation, customer service and invoicing.

DOCUMENT & MEDIA DESTRUCTION

Destruction services help our clients manage the complete information life cycle by providing expiration date notification and certified shredding.
